Zapier began in 2011 as a way to connect web apps and now links more than 9,000 of them12. Its AI sits inside that network: AI steps in workflows (Zaps), agents that act in the background, chatbots, and a natural-language builder in beta2.

Best for: Companies that will keep their current SaaS tools and want automations, AI steps and agents running between them.

Not the right fit for: Companies looking to replace their tools with one system, or heavy AI use on a fixed budget.

What Zapier's AI does

A Zap runs when something happens in one app and acts in others. AI by Zapier adds language-model steps to that chain, Zapier Agents take actions across tools in the background, and other AI tools such as Claude or ChatGPT can call Zapier actions directly2. For anything consequential, a Request Approval action pauses the run and asks one or more reviewers to approve, decline or change the data, with a timeout and notification by email or Slack. It is available on Professional, Team and Enterprise, though on Professional requests can only be sent to yourself3.

Plans and governance

The free plan includes 100 tasks a month on two-step Zaps, without premium apps, webhooks or AI by Zapier. Professional starts at $19.99 a month billed annually for 750 tasks, and Team at $69 a month for 2,000 tasks and up to 25 seats; tasks reset monthly even on annual billing4. Agent activity is counted separately from tasks4. SAML SSO and an audit log (six months) come with Team; advanced admin permissions and a one-year audit log are Enterprise features4.

Published evidence

  • Palo Alto Networks. Zapier reports that Palo Alto Networks replaced manual demo provisioning with an AI-powered Slack bot, saving $150,000 a year (one full-time role) and serving more than 3,000 internal users. Vendor-reported.5

Strengths and limits

Strengths

  • The widest reach in this guide: almost any SaaS tool a company pays for can be connected.
  • A Human in the Loop step pauses a run for one or more reviewers, who can approve, decline or change data.
  • Plans, task volumes and governance features are published in detail.

Limits

  • Free plans are limited to two-step Zaps and exclude AI by Zapier; on Professional, approval requests can only be sent to yourself.
  • Tasks, AI steps and agent activity are metered separately, so heavy AI use adds up.
  • SSO and the audit log start on the Team plan; advanced admin permissions are Enterprise-only.
  • It connects systems rather than holding the company’s records.

Choose another option if: You want the records themselves in one place with AI working on them. OpenLazarus or Airtable fit that better.

Pricing

Published: Free (100 tasks); Professional $19.99 a month billed annually ($29.99 monthly) for 750 tasks; Team $69 a month billed annually for 2,000 tasks.

Questions to ask Zapier

  • How many tasks and agent activities would our workflows use in a busy month?
  • Which steps need a Human in the Loop approval, and who should receive the requests?
  • Do we need the Team plan for SSO and an audit log?
  • Which records will remain spread across the apps we connect?
